Using your inbox

Read and reply

How the unified inbox works, how to reply, write new mail, and archive a conversation.

Choose a domain from the sidebar, or All domains, then open Inbox. Conversations appear newest first; replies stay together in one thread.

Reading

  1. Unread conversations show a marker on the left and their subject in bold.
  2. Select a conversation to open it beside the list, oldest message first.
  3. Opening a conversation marks it read.
  4. Use the domain selector to narrow the inbox, or choose All domains to see all mail you can access.

Each message shows who sent it, who it was sent to, and when. On the right you will see whether it passed authentication, which tells you the sender is who they claim to be.

Replying

  1. Open the conversation.
  2. Scroll to the reply box at the bottom.
  3. MailMoose fills in the recipient and the sending address for you. The reply comes from the address the message was sent to, and its signature, if it has one, is already in the message.
  4. Select Reply all if you want everyone on the original message included. Your own address is never added.
  5. Write your message and select Send.

Your reply is added to the conversation, so the thread stays complete on your side as well as theirs.

Writing a new message

Select Compose beside the heading in Inbox or Sent. It opens a small window in the corner, defaulting to send from whichever mailbox you have selected, with its signature already added. Write it there, or expand it to fill the screen with the icon in its corner, and select Send.

A window you have not finished can be minimised rather than closed, and picked up again later in the same session. It is not saved anywhere, so closing the tab loses it, the same as closing a browser tab loses anything else you were typing.

Archiving a conversation

Open it and select Archive at the top of the page. It leaves your inbox, but nothing in it is deleted. There is currently no way to browse archived conversations from the inbox itself.

Why your replies stay in the thread

Every reply carries hidden headers pointing at the message it answers. Mail clients use these to group conversations. MailMoose sets them for you, which is why a reply lands inside the original thread in Gmail or Outlook rather than starting a new one.

Images in messages

Remote images are blocked until you choose to load them. A hidden image is a common way for a sender to learn that you opened their message, when, and roughly where from.

Select Show images on any message where you are happy for the sender to know you read it.

Sending limits

Your organization can send 1,000 messages per rolling 24 hours by default, shared by everyone. Sending through an API key or agent also uses its own 100-message default allowance. Manual sends do not use a key’s allowance. See how limits work.

Common issues

  1. A reply started a new conversation. The sender's mail client may have changed the subject or dropped the threading headers. There is nothing to fix on your side.
  2. You cannot send. Check that you have access to the address you are sending from, and that its Sending status is verified. See Connect a domain.
  3. A message shows a red authentication badge. Treat it with suspicion. It failed the checks that prove a sender is genuine, which is common in invoice fraud.
  4. A compose window disappeared. It was minimised rather than closed. Look for it as a small bar in the corner of the screen.
